It’s important to have templates for the most common types of emails you’ll send so that you can save time and ensure consistency in your messaging. Whether you’re just getting started in your nutrition business or you’re an old pro who wants a refresh, it’s always a good idea to have templates in place.

Running a nutrition business requires a lot of communication. Between meeting with clients, emailing them information, and tracking their progress, there’s a lot of communication that takes place between health professionals and their clients (or potential clients).

These email templates are for the content or text of 7 common emails you need for your nutrition coaching business. For graphic templates, meaning the look and feel, your email service provider like ConvertKit or Active Campaign will have plenty of free email newsletter templates for you to choose from. Alternatively, you can purchase premium email layout templates in places like Stripo or Creative Market.

In this blog post, we will discuss the seven essential email templates that every nutrition professional should have!

  1. The Consultation Request
  2. The Follow-Up
  3. Onboarding
  4. Progress Report
  5. Cancellation
  6. Reactivation
  7. Testimonial Request

The truth is, there are a lot of different types of email templates that you could use, but we think these are the most essential.

The Consultation Request Email

The first email template you need is a consultation request email. Typically, your potential client will fill out a contact request form on your website with their name, email address, and the problem they want to be solved by working with you. You can set this up as an automated confirmation email once the contact request form has been filled out.

Keep in mind, this is your first email contact with a potential client so you want to make a good impression! It should introduce you and your business, explain what services, packages, and group coaching programs you offer, and invite the potential client to schedule a consultation.

This email is an opportunity to feature services you offer, share client success stories, and let them know how you can help them reach their goals.

This email should be short and to the point. You want to make a good impression, but you don’t want to overwhelm the potential client with too much information.

Be sure to make it easy for your potential clients to book with you by including a link to your booking calendar. You can also include a list of frequently asked questions or your cancellation policy so that your potential clients know what to expect.

Example Consultation Request Email For a Nutritionist

As a nutritionist, I offer a wide range of services, including one-on-one consultations, group coaching, and package deals. No matter what your needs are, I have a program that will fit you.

I’ve helped hundreds of clients reach their nutrition goals, and I’m confident that I can help you too. During our consultation, we’ll discuss your goals and create a plan to help you reach them. The Follow-Up Email

The second email template you need is a follow-up email. This email should be sent after you’ve met with a client or had a consultation. It’s an opportunity to thank them for their time and reiterate what you discussed. This email should also include any action items that were agreed upon, such as starting a new nutrition plan or scheduling another meeting.

This is a great opportunity to share a “free gift” such as a list of your favorite nutritious foods, little-known nutrition facts, or a collection of healthy recipes. Not only does this help your potential client make an informed decision about working with you, it also builds trust and rapport.

Example Follow-Up Email After A Consultation

Hi [Name],

Thank you so much for meeting with me [today/yesterday]. I really enjoyed getting to know you and hearing about your [nutrition goals].

Based on our discussion, I think you would benefit from my [service or program]. I would be happy to help you [solve problem] and make nutrition recommendations that will help you reach your goals.

In addition, I wanted to share a few nutrition resources with you that I think you’ll find helpful.
Here is a list of my favorite [worksheets/nutritious foods/nutrition facts/collection of healthy recipes]. I hope you find these helpful in making an informed decision about working with me.

I know that together we can make a big impact on your health and I look forward to working with you.

The Onboarding Email

The next email template you need is a client onboarding email. This email should be sent to new clients after they sign up for your services, group coaching program, or package. It’s an opportunity to welcome them and give them some information about what to expect. This email should also include any resources or tips that will help them get started on their journey. You want to reassure your client that they made the right decision and get them to take action – even if that only means filling out forms.

Some things you can include in your onboarding email are:

  • Patient forms (or links to electronic forms) like a health history form or request for medical records
  • Client agreement or contract
  • A welcome letter
  • Helpful resources like a list of healthy food choices
  • What to expect about meeting their health goals
  • Policies and procedures
  • Frequently asked questions
  • Your list of services, programs, and packages

This email should also include a call-to-action, such as scheduling a session or following you on social media.

The Progress Report Email

This email is to let your clients know that they are on the way to reaching their health goals and reassure them that they made the right decision to work with you. It’s the Progress Report email. This is one that makes your clients happy to get that email alert.

It’s an opportunity to celebrate their successes and encourage them to keep up the good work. Be sure that you remind your clients why they started working with you in the first place.

If your coaching program is 6 weeks long, you may want to send a progress report email after weeks two and four. If your program is 6 months long, you may want to send a progress report email monthly.

This email should also include any nutrition advice, resources or tips that will help them continue to make progress and stay motivated to reach their goals. You can also mention other optional services you offer that can fast-track their success.

Example Progress Report Email

Hi [Name],

I hope all is going well and you’re seeing some great progress! I’m so proud of the hard work you’ve been putting in and am excited to see what the next few [weeks/months] bring.

The Cancellation Email

The fourth email template you need in your nutrition practice is a cancellation email. This email should be sent to clients who have canceled their services. It’s an opportunity to thank them for their time and express your hope that they will consider working with you again in the future.

In your cancellation email, you can also include a link to a questionnaire about why they canceled their service and ask for feedback that you can use to improve your business. Sometimes, showing that you’re open to feedback and willing to make changes can be enough to encourage a client to give you another chance.

You don’t want to come across as desperate or angry, so be sure to keep your cancellation email short and sweet. You can also include a discount code or special offer to encourage them to come back.

Example Cancellation Email

Dear [Name],

Thank you for your time and business. We’re sorry to see you go and we hope you’ll consider working with us again in the future.

If you have a moment, we’d appreciate it if you could fill out a short questionnaire about why you canceled your service. Your feedback will help us improve our business and better serve our clients in the future.

We hope you’ll take advantage of our special offer: [discount code or special offer]. Thank you again for your time and business. We look forward to serving you in the future.

The Reactivation Email

The fifth email template you need is a reactivation email. This email should be sent to clients who have not been active for a while. It’s an opportunity to check-in and see how they’re doing.

This email should also include information about your current services, promotions, and how you can help them reach their goals. You can also include a special offer or discount to encourage them to come back.

Reactivation emails can be sent weekly, bi-weekly, or monthly depending on how long a client has been inactive.

You want to make sure that you don’t come across as pushy or sales-y in your reactivation email. You want to sound genuine and concerned about your client’s health and well-being. You can send links to helpful articles, share new products, patient success stories, or any other content that your clients would find helpful.

Example Reactivation Email

[Name] it’s been a while since we’ve seen you at [business name]!

We hope you’re doing well and staying on track with your health goals. We miss seeing you and hearing about your progress.

If you’re looking for some extra motivation, we’ve got some great news to share. We’re now offering [service/program] that can help you reach your nutrition goals. We know it can be tough to stay on track, but we believe in you!

Here’s a special offer for our valued clients: come back within the next month and receive [discount/special offer]!

The Testimonial Request Email

Another email template you need is a testimonial request email. This email should be sent to clients who have had success working with you. It’s an opportunity to ask for a testimonial or review that can be used on your website or social media.

To make it easy for your clients to give you raving reviews, you may want to create a simple Google form to collect testimonials.

If you don’t want to use a Google form, you can also ask your clients to leave you a review on Yelp, Google, or Facebook. Just be sure to include links to all of your business’s social media and review sites in your email.

Example Testimonial Request #1

Hi [Name],

I’m so glad you’ve had success with my [program/product]! I would love to feature your story on my website and social media.

Would you be interested in writing a few sentences about your experience? I’m always looking for ways to showcase the successes of my clients.

If you’re not interested or don’t have the time, no worries at all. I just wanted to reach out and say thanks for working with me. I hope you continue to see results!
